The main points:

  • Your anonymity is important to us, which is why our surveys are anonymous. We have recorded this with the Data & Insights Network (D∈ formerly called the MOA).
  • Most surveys do not ask for personal information.
  • We only ask for things relevant to the survey.
  • Sometimes we work with e-mail addresses so we can send you a link to the questionnaire. We only use the e-mail addresses during the survey and then destroy them.
  • Yes but… why do I get a personal reminder? We don’t want to bother people unnecessarily. That is why our system keeps track of whether a questionnaire was received from an email address. If not, the system automatically sends a reminder. However, the answers and the e-mail address are kept in separate files. We are not even allowed to report to the client whether or not a person has participated in a survey.
  • We never provide traceable information to anyone, including a client or your employer. This too has been laid down by D&IN.
  • We never provide results of a survey to third parties, only to the client.
  • Files containing research results are always secured. If we send a report, we let you know about the code to open it via another medium (multi-channel).

What do we do only with your permission?

  • For some surveys, it is possible to receive a personal report, for example about your happiness at work, strengths, personality traits or feedback. In such cases, we ask for your (private) e-mail address so that we can send you your personal report. This information is stored with us in separate files and with a password.
  • In a customer survey, we sometimes ask if a customer would like his/her name mentioned in the survey with a comment or suggestion. After all, this may be useful. If this is the case, we explicitly ask for permission and the participant is free to decide for himself/herself.
  • We sometimes show the answers to open questions literally in an attachment. Simply because it often contains very useful information. If we do so, we mention it explicitly in the survey
    and ask for approval. And even then, we read through all the answers and check that there is no traceable information. An example: ‘I have been working here for two years now and am having a great time’. That’s nice to hear, and yet we adjust this to: ‘I […] am having a great time’.
  • Sometimes we ask in which department you work ánd how long you have been working in the organisation. ‘Yes but… I’m the only one working in the department for two years! Then they will know it’s me, won’t they?’ We understand your concern, but the two things will not be linked. We show the average results per department (only for 7 or more participants). Separate from that, we make an analysis of people working for a short or long time for the organisation. So only the average outcome will be reported and the data will be used in separate reports.

Our official statement

The information you provide within a survey will be stored with the MonitorGroep. The MonitorGroep ensures that this data does not end up anywhere else. Only general results are made available to the organisation and not individual responses.

The MonitorGroep guarantees that all data is handled confidentially. The MonitorGroep is a member of Data&Insights Network and adheres to the privacy protection code of conduct and the international code for market research. This code is drawn up by the European Society for Opinion and Marketing Research ESOMAR, in close cooperation with the International Chamber of Commerce (ICC). Survey data is not traceable to individuals and is not shared with third parties. We act in accordance with the General Data Protection Regulation (AVG), which replaced the Personal Data Protection Act (Wbp) on 25 May 2018.

Our online questionnaires use an SSL connection. All online data is stored in ‘Class A data centres’ with extensive physical security. The data hosts are regularly checked for security (audits). Two-step verification is required to access online data. To process data, files are downloaded onto our local server. The local data server is located in a locked room accessible only to MonitorGroep employees. The building in which the server is located is secured outside office hours with an alarm system and camera surveillance. Data is stored for a minimum of two years and can be used in case an organization wants to repeat a survey. Saved files are assigned a security code. The security code is known only to employees of the MonitorGroep. After data processing, research data are separated from any personal information.

The information you provide within the survey will be stored with the MonitorGroep. The MonitorGroep ensures that this personal data does not end up anywhere else. Only general results are made available to the organisation and not personal answers.

No. The organization will only see a total number of participants. The software the MonitorGroep works with automatically sends a reminder when you have not yet completed the questionnaire.

No. As the MonitorGroep, we do not want information in the reports to be traceable to one or a few individuals. To ensure anonymity, full group reports are only created for groups of 7 participants or more (an explanation can be seen in the question below). Back to the example: in this case we do not provide a report for all administrative staff because only 1 administrative staff member is involved. Are there 7 administrative employees within the department? Then we can provide a group report.

No. The MonitorGroep only provides complete reports for groups that consist of 7 participants or more. Smaller groups (3 to 6 participants) only receive a summary of the main points, without percentages. This allows small groups to get started with the results and still have their anonymity protected.

No. All answers to open questions are read by the MonitorGroep and checked for possible traceability to individuals. If this is the case, we will make sure the answer is not traceable anymore.

Since the beginning of online research, results are always transported and saved by a provider. We specifically have chosen for a provider that is also a member of Esomar and conforms to the rules of the European research branche. Therefore, you can count on your answers being safe with us.
